Your Licensure Hasn’t Told You Everything
You Need to Know to Run Your Daycare Business.
The State may require your daycare to have a Parent Handbook, policies and procedures, and even safety guidelines, but your daycare is a business and requires much more documentation and standards in order to be stable and grow.
Your licensure hasn’t told you about all the other procedures you need to also have.
For example, to teach someone how to run your office may take over 25 process documents.
- How to enter new lunch forms.
- How to put together a kid application.
- How to submit for the multiple reimbursements or payment invoices.
- How to answer the phone.
- How to enroll a new child.
- How to submit payroll.
- How to submit the renewal license application.
- How to…. you get the picture.
The State doesn’t require any of these documents, but you need them to ensure the stabilization of your business.
Without Standardization, Your Daycare is Likely Experiencing the Following:
- Owner working as the Director or as a teacher.
- Director having to repeat themselves over and over again.
- Staff stagnated in their career exploration and growth.
- Parents frustrated from lack of changes in the program.
- Staff treating job like a paycheck versus a career.
- Cash flow problems and inconsistent payments received.
- Owner has a lack of time to get things done.
There is Room to Improve Your Daycare in 12 Management Areas!
- Tier Structure – Can one owner manage 20 daycares if needed?
- 5S Workplace Organization – Can everything in the daycare be found in 8 seconds or less?
- Strategy Deployment – Does a strategy exist that is visually managed, collaborative, aligned vertically & horizontally, & is reflected on and adjusted?
- Staff Engagement – Does the daycare have goals for each staff person to improve their work with ideas, small changes, and project improvements?
- Leader Standard Work – The owner and direct reports use time management tools to increase the amount of available time they have in a day?
- Process Standard Work – Are all process a new hire needs to learn documented with pictures and a qualified trainer to teach them expectations?
- Problem solving – Are daily and persistent issues investigated to find and eliminate their root causes?
- Visual Management – Are performance charts, graphs and tools hanging up in the daycare and used to track and discuss team’s performance?
- Visual Control – Are visual signals & controls used in the daycare and acted upon?
- Leaders Developing Leaders – Is there a mentorship program established?
- Accountability Systems and Actions – Does the Daycare post actions they are due, who is doing them, and when they are due?
- Total Productive Maintenance – Does the daycare have a preventative & predictive maintenance plan that the staff knows about and helps with?
We Help You Reach Your Goals Faster
Principles of Lean
We encourage all of our daycare clients to agree to adopt these Principles of Lean.
Along with the NAEYC Code of Ethics, these principles should be included in every daycare’s employee and parent handbooks.
- 1. Respect Each Individual, all staff will be treated as the experts of the work that they do. They will ask their opinions about upcoming changes and asked to provide feedback for completed work.
- 2. Lead with Humility, all staff will be asked about how their day is going, what issues are they seeing, and what ideas do they have to improve the work.
- 3. Seek Perfection, all work will be continuously improved. Finished projects will be reviewed for ways to leverage successes in other locations or on other shifts, and annual planning, surveys, parent feedback will be used continuously improve how we get work done.
- 4. Focus on Process, all work will be defined in terms of processes and managed accordingly. People will not be the primary focus when things go wrong or when mistakes occur. We will look to understand if there are any process issues that can be corrected.
- 5. Flow and Pull Value, all work will be filtered through the lens of what is required, by whom, and when. Project work tasks will be prioritized using this principle.
- 6. Assure Quality at the Source, when incidents, accidents, or first time through failures occur within a process, we will look to the root cause and make corrective actions to assure that problem cannot occur again.
- 7. Scientific Thinking, Processes will be analyzed for root cause issues, goals, objectives defined, and problem-solving measures applied and checked. We will use tools like A3’s to track projects and help us in our thinking.
- 8. Constancy of Purpose, all strategy goals will be shared with entire team, action items defined, and progress measured daily, weekly, monthly, and annually.
- 9. Systemic Thinking, all branding, tools, processes, and strategy best practices will be shared and adopted at all New Day Family locations.
- 10. Create Value for the Customer, we will build a relationship with our customer and solve problems for them one after another after another each time creating additional value for them.
